Estate Manager

The position is very Facilities driven, you should be able to make minor/simple repairs yourself before bringing in a vendor. The target candidate for this role will have luxury home construction experience, a former contractor who also has an advanced administrative background would be ideal. Must have a thick skin and be open to direct feedback from the principals.

Reporting to and working closely with the Owner, the Estate Manager supervises and manages all estate
activities and functions, in an effective and efficient manner to meet or exceed expectations. The
Manager ensures the overall well-being, comfort, security and safety of the family and guests. He/she
provides procedures, supervision and training for household and estate staff and contractors to meet
these goals. He/she develops project budgets for the Owners’ approval, manages expense approvals
and works closely with the Owners’ family office to ensure timely payment of invoices.

Key Responsibilities and Duties:

Overall
• Responsible for developing, implementing and maintaining a living environment that meets or
exceeds the Owner’s expectations and ensures an optimum level of comfort, safety, security and
privacy for the family
• Responsible for all operational, administrative, human resource, contractual and financial matters
relating to the effective and efficient management of the property
• Establishes and maintains values, policies and programs to ensure that estate and family services
are delivered to the highest standards
• Coordinate with household staff and Owner’s office to ensure proper coordination of estate matters
Household & Staff Management
• Create annual budget for Owners’ approval
• Review and approve household bills, household employee time cards and review accounting
records of acquisitions and expenses
• Manage security and daily operations of estate (6 staff members – 24x7x365 coverage)
• Supervise and train household staff (2 housekeepers)
• Manage various outsourced services such as landscaping

Facilities Management:

• Create and implement preventative maintenance programs for all facilities to ensure asset
preservation; facilities include a substantial horse stable
• Manages and supervises staff and contractors responsible for specific estate support functions
• Establishes contractor relationships and implements service agreements that provide the highest
level of service at competitive rates
• Act as Owner’s representative and Project Manager for all construction, landscape and renovation
projects, including the review, selection, and supervision of architects, designers, and contractors
• Oversee all vendor work including roofing, plumbing, electric, repair, pest control, repair and
painting as related to all maintenance and capital projects
• Coordinate shipping, receiving and maintaining extensive fine art and furniture collection
• Responsible for event and guest scheduling for all locations, ordering and stocking of supplies and
all required vendor support services
• Maintains a consistent presence to ensure the safety of the property and its inhabitants, including
quick response to any emergency situations
• Ensures that highest standards of cleanliness and hygiene are followed in work activities
• Provides advice and consultation relative to Owner’s other properties as directed by Owner
• Any other duties as directed by the Owner

 

Compensation:

  • 200-300K | DOE
