Estate Manager

Seeking an experienced Estate Manager to oversee day-to-day household operations for multiple residences in San Francisco. The Manager will be responsible for acting on behalf of the Principal(s) for all matters concerning residential property management, staff, travel, security, and construction management.  The role has potential to grow in scope in terms of size of team and number of properties to oversee.

Responsibilities & Duties:

  • Act as gatekeeper for family, liaise with all vendors, contractors, family office, and estate staff
  • Seamlessly run multiple properties to minimize impact on Principal(s) and act as point person on daily estate functions
  • Act as day-to-day supportive manager and supervisor for all household staff (2-6 employees currently) to ensure they thrive. Activities to include scheduling, recruitment, onboarding, benefits and compensation, periodic and annual reviews
  • Coordinate closely with Principal(s)’ family office to ensure comprehensive service delivery
  • Walk properties regularly to ensure households are running with ease
  • Working knowledge of physical house systems including smart home systems, HVAC, electrical, plumbing, internet, a/v equipment
  • Select, vet, and manage all household vendors
  • Work with Principal(s) and staff to develop household manuals
  • Oversee property security, including monitoring services, cameras, and other security systems.  Build familiarity with home security operations/personal protection and liaise with key parties appropriately
  • Provide management, direction, supervision, and coordination of all construction/real estate activities
  • Oversee and develop budgets for operations, projects and capital expenditures as directed by Principal(s)
  • Track petty cash and household expenditures, reconcile credit cards and bank accounts
  • Promote and ensure privacy and confidentiality in all matters
  • Hands-on duties as needed, general errand running
  • Ability to handle very sensitive and highly confidential issues with diplomacy and discretion
  • Strong verbal, written and telephone communication skills
  • Ability to work under pressure with constant deadlines and changing priorities, while maintaining a calm demeanor

QUALIFICATIONS:

  • Minimum 10+ years managing operations and teams to perform at their best and personally thrive
  • Preference for 10+ years of experience working in a private home with an emphasis on managing staff, service, and multi-faceted estates
  • Proven record of success as an Estate Manager, stellar references from past employers
  • Longevity in past positions is very important to our client
  • High energy and ability to grasp concepts quickly
  • Ability to work autonomously and make executive-level decisions
  • Ability and willingness to act in the best interests of the Principal(s)
  • Proven ability as a creative problem solver to identify opportunities in process and create systems and protocols for efficiency and consistency
  • Highly organized with the ability to manage multiple tasks, strategically prioritize them, and analyze risks and opportunities.  Preference for candidates who can leverage technology solutions to this end
  • Ability to recognize preferences and expectations of principal(s) and communicate effectively
  • Proficient in modern technology environments including knowledge of or willingness to learn: MS Office Suite, Google Calendar, DropBox, Box, Asana, LastPass, Expensify.
  • Ability to work remotely
  • Able to work legally in the U.S., valid driver’s license, and clean driving record not to include major accidents or infractions
  • A comprehensive background investigation will be required if you are offered a position with our client
  • 24/7 mentality (to handle emergencies)

Compensation:

  • 120-200K | DOE
  • Excellent benefits
