Personal Assistant

Personal Assistant needed immediately for a busy family based in San Francisco. The ideal candidate will be calm, poised, professional, discreet, and will have a keen understanding of professional boundaries. The candidate who is selected for this special opportunity will work in the family home daily and enjoy a pleasant and professional work environment.  Duties and Responsibilities:

  • Provide first-class personal administrative and project management support for the family, while maintaining an extreme level of privacy and confidentiality
  • Work with existing staff to arrange and coordinate personal commitments, working closely to balance against professional obligations across multiple entities
  • Make complex travel arrangements for family and guests, the family travels frequently (coordinating and managing packing, luggage, etc.)
  • Arrange and event-manage personal events (dinner reservations, entertainment, catering requests, parties, doctor appointments, misc. leisure or family activities)
  • Create and maintain databases and documents to manage: contacts, gift giving and receiving, correspondence etc.
  • Reconcile invoices and complete expense reports
  • Make purchases and runs errands as needed
  • Develop an understanding of the family’s professional and personal operations, culture, policies, and procedures.
  • Arrange, confirm, reschedule and follow up on appointments for service providers.
  • Handle and maintain highly confidential and sensitive information
  • Multi-task and work on many projects simultaneously
  • May require evening and weekend calls or email
  • May require travel – domestically and internationally – light

Minimum Skills, Characteristics, and Experience:

  • Minimum of 3 years of high-level, complex personal administration work experience at senior level or equivalent
  • Ability to work and strive in a fast-paced and detail focused environment
  • Excellent and creative problem solver
  • Ability to interface effectively with all levels of staff and vendors
  • Excellent communication skills – verbal and written involving high-level communications with internal and external contacts; Ability to listen and simplify details depending on target audience; Manage conflict appropriately, know when to delegate issues upward
  • Excellent ability to prioritize work
  • Exceptional assessment and organizational skills; attention to detail and excellent follow-through; a fastidious task-tracking mindset
  • Ability to work independently as well as in a team environment
  • Demonstrated ability to take initiative, anticipate needs and exercise independent/sound judgment
  • Ability to take direction from family and execute their directives with accuracy 
  • Proven experience in creating spreadsheets and composing/creating content, texts and special reports
  •  Knowledge of iCal, Apple, Windows, MS Office Suite, Google Calendar, Dropbox, etc.
  • Proven time-management skills with an ability to prioritize and handle multiple tasks and work in a fast-paced environment
  • Determined, self-motivated and eager to take on new challenges
  • Exceptional work ethic and trustworthy

Preferred Skills, Characteristics, and Experience:

  • Bachelor’s degree, or equivalent experience
  • Experience supporting a family in the personal/home environment
  • Demonstrated ability to take initiative, anticipate needs and exercise independent/sound judgment
  • Experience providing administrative support at the executive level

Compensation:

  • $110-$120K | DOE
  • Healthcare Stipend
  • 25 days PTO (15 personal days, and 10 paid holidays)
  • Parking space and in-home office area provided
