Personal Assistant | House Manager

We are actively searching for a smart and talented Personal Assistant | House Manager for an active family of five (two adults & three school-aged children) in Palo Alto. Candidates for this exciting opportunity should be open-minded, efficient communicators and “sharp thinkers” and able to work a schedule which will require occasional flexibility. Our client is looking for someone who is extremely detail-oriented and dedicated to excellence. The candidate who is chosen for this position will wear many hats; duties could be anything from running out to buy school supplies, to planning a complex travel itinerary or implementing new organizational systems for the family.

  • Part-Time: 20 hours per week (exact days/times TBD)
  • Local candidates only
  • Start date: ASAP

Primary Responsibilities:

  • Household management of 5000 Sq. ft residence and one-acre grounds
  • Vendor management
  • Set up, and maintain, household systems, including restocking and online ordering
  • Closet organization
  • Create a digital estate manual
  • Personal/Online shopping, gifts, returns
  • Driving children to activities
  • Back up for nanny on sick, vacation days
  • Supervising housekeeper
  • Simple meal preparation
  • Use Google calendars, docs and sheets to manage to-dos, household information, and schedules
  • Other duties, as assigned by Principal

Applicant Requirements:

  • Must have at least 3 years’ experience working in a similar capacity
  • Excellent references from past employers
  • History of longevity in past positions
  • Experience and comfort caring for children
  • Willingness to form a respectful relationship with children
  • Flexibility in schedule within agreed upon parameters
  • Must be polished and professional, but not overly formal or “stuffy”
  • Must be dynamic and proactive, anticipate the family’s needs
  • Ability to self-manage time and to-do list, and to work efficiently with high-level direction
  • Ability to track short and long-term priorities
  • Should be highly ethical and discreet
  • Team player with a “can do” and “I’ll figure it out” attitude
  • Possess an ability and desire to be flexible and do whatever it takes to get the job done
  • Experienced multi-tasker who has the ability to respond to any request in a timely fashion and follow through until its conclusion
  • Must possess excellent communication skills with the ability to read and speak English fluently
  • Must be comfortable with Principals who are very respectful and direct communicators
  • Must be able to manage with respect and have a team attitude
  • Must be organized, hardworking, trustworthy, calm and positive
  • Service-oriented with a passion for excellence
  • Valid US driver’s license & reliable transportation
  • Proof of U.S. citizenship or work visa
  • Must have long-term intent
  • An in-depth background investigation will be required

Compensation:

  • $40-$50 | Hour
  • Guarantee of 20 hours per week
  • 10 paid vacation days
  • 3 sick days
